How We Work

From an open requirement to a coordinated supply path.

After you share a requirement, we clarify questions and agree the support needed. KAIVORIAN coordinates China-side interfaces; manufacturing partners carry out manufacturing, and buyers retain their decisions and approvals.

Start With What You Know

A project can start from incomplete information. Share what you have; you do not need every item below before a discussion.

  • Drawing or specification
  • Reference sample
  • Application and use context
  • Target quantity
  • Quality expectations
  • Packaging and delivery requirements
  • Open technical or commercial questions

We first discuss project fit and the information still needed. A conversation does not itself approve production or commit either party to an order.

A Working Framework, Not a Fixed Sequence

Six stages describe possible decisions and handoffs. Agree the path around your requirement, supplier readiness and buyer approvals.

  1. Requirement Clarification

    Purpose
Establish a working RFQ basis, with unresolved technical and commercial questions visible before sourcing decisions.
    KAIVORIAN coordinates
    • Align specifications, application context and quantities.
    • Identify specification gaps and open questions with the buyer and potential suppliers.
    Buyer input / approval
    • Confirm intended use, priorities and gaps to resolve.
    • Engineering authority and technical sign-off belong to the agreed responsible parties, not automatically to KAIVORIAN.
    Manufacturing partners
    • Review process-specific feasibility where involved.
    • Return any proposed technical change to the responsible parties for approval.
  2. Sourcing & Supplier Evaluation

    Purpose
Compare supply paths against the working requirement before choosing how to proceed.
    KAIVORIAN coordinates
    • Coordinate supplier search / development, RFQs and comparison of responses.
    • Assess supplier fit, multi-supplier interfaces and multi-process requirements using available information.
    Buyer input / approval
    • Review options, trade-offs and open questions; approve the supply path and commercial decisions before commitments.
    Manufacturing partners
    • Propose scope, technical approach and commercial conditions, identifying limitations or clarifications.
  3. Sampling & Validation

    Purpose
Resolve sample-dependent questions and establish approval checkpoints where samples are required.
    KAIVORIAN coordinates
    • Coordinate samples, specification revisions and development iteration where required.
    • Connect review questions and buyer approval checkpoints to the current requirement.
    Buyer input / approval
    • Review samples; approve or request revisions. Not every project requires a sample stage.
    • Technical validation responsibilities, criteria, sample costs and timing are agreed per project.
    Manufacturing partners
    • Produce samples, agreed revisions and assigned validation work where commissioned.
    • A sample does not replace agreed production acceptance requirements.
  4. Production Coordination

    Purpose
Keep requirements and supplier handoffs clear when an approved project enters production.
    KAIVORIAN coordinates
    • Maintain manufacturing-partner communication, production follow-up and multi-supplier sequencing where needed.
    • Escalate issues and coordinate responses with the relevant parties.
    Buyer input / approval
    • Approve the production basis, order conditions and changes assigned to the buyer.
    • Resolve assumptions before they become instructions.
    Manufacturing partners
    • Execute manufacturing and process-specific technical work against agreed requirements.
    • Manufacturing execution remains with manufacturing partners, not KAIVORIAN.
  5. Quality & Delivery Coordination

    Purpose
Connect agreed verification and quality decisions with packing and delivery handoffs.
    KAIVORIAN coordinates
    • Coordinate agreed inspection / verification, quality communication, packaging and delivery requirements, and collection / consolidation where applicable.
    • Keep issues visible for the agreed acceptance decision.
    Buyer input / approval
    • Agree inspection scope, acceptance criteria and packing / delivery requirements.
    • Review results and give the approvals assigned to the buyer.
    Manufacturing partners
    • Carry out assigned checks and packing; address issues within their scope.
    • Inspection, freight and customs responsibilities are allocated to the agreed parties; coordination is not a claim of in-house freight-forwarding or customs services.
  6. Ongoing Support & Supplier Flexibility

    Purpose
Reassess the supply path as repeat requirements or product needs evolve.
    KAIVORIAN coordinates
    • Follow up repeat requirements and changing specifications.
    • Coordinate supplier comparison or replacement where justified by the requirement and agreed scope.
    Buyer input / approval
    • Confirm updates; decide whether to continue, compare options or change supplier.
    • Any replacement costs, timing and validation needs are assessed before commitments.
    Manufacturing partners
    • Review changes and execute agreed repeat or revised work.
    • A replacement may need fresh evaluation or validation; it is not promised to be instant or cost-free.

Keep Decisions and Execution Clear

Agree who decides, coordinates and executes before work starts. These responsibilities apply across the project.

Buyer

  • Decide the requirement and intended use.
  • Provide approvals at the agreed review and acceptance points.
  • Make applicable commercial decisions and approve changes assigned to the buyer.

KAIVORIAN

  • Coordinate sourcing and commercial / technical interfaces.
  • Follow up project questions, decisions and supplier handoffs.
  • Coordinate supply-chain activities within the agreed scope through one accountable China-side commercial interface.

Manufacturing Partners

  • Carry out manufacturing execution.
  • Execute process-specific technical work within their scope.
  • Produce against agreed requirements and raise issues affecting that basis.

Choose the Sourcing Approach That Fits

KAIVORIAN does not replace manufacturers. Choose around supplier readiness, project scope and your team's resources.

Direct Factory Sourcing May Fit When…

  • Your supplier is already proven for the requirement.
  • Specifications are stable and the supply basis is clear.
  • One supplier covers the scope without additional supplier interfaces.
  • Your team has sufficient China-side procurement and quality resources to manage the work directly.

KAIVORIAN Adds Value When…

  • Supplier selection or comparison is required.
  • Multiple suppliers or processes need to work together.
  • Requirements need clarification before commitments.
  • Development or sampling is required.
  • Supplier comparison and flexibility matter as needs evolve.
  • Quality or delivery coordination is complex.
  • You want one accountable China-side interface for the agreed coordination scope.

A proven factory may be the simpler direct route when the scope is stable and your team can manage it. KAIVORIAN is relevant where coordination adds value, not automatically the better choice for every purchase.

Agree the Project Boundaries

  • Exact support, outputs and responsibilities are agreed per project; not every stage or activity applies to every engagement.
  • Costs, timing, inspection, packing and logistics responsibilities vary by project and must be agreed with the responsible parties.
  • Buyer approvals remain part of the process; unresolved questions or changes require the relevant decision before work proceeds.
  • Manufacturing execution remains with manufacturing partners. Coordination does not guarantee supplier performance, timelines, zero defects or compliance, and it is not a lowest-price promise.

Share the Requirement and the Open Questions

Send the information you have, or ask where to begin. We can discuss project fit, missing information and the coordination scope before you decide how to proceed.
